Every property enquiry answered on the first ring

Voice agents that pick up inbound property calls, qualify the caller on budget, timeline, area and financing, write the lead straight into GoHighLevel, and hand the serious ones to a human while they are still interested.

Real estate voice agent architecture: an inbound call reaches a Retell voice agent using an ElevenLabs voice, which qualifies the caller on budget, timeline, location and financing, writes the lead into GoHighLevel, then either books a viewing, routes to a human agent, or drops the contact into a nurture sequence.
The agent qualifies and records. A person still closes — the handoff is the point, not an admission of failure.

The challenge

Property leads decay faster than almost any other kind. Someone sees a listing, calls, and if nobody picks up they call the next agent on the page. They are not annoyed — they simply have five other numbers and no loyalty to any of them.

Agents cannot answer every call, because the thing that makes them money is being out at viewings, which is precisely when they cannot take the phone. So enquiries arrive during the exact hours nobody is at a desk, and the ones that do get answered consume the agent's time on callers who turn out to be browsing, unable to finance, or looking in the wrong area entirely.

Both halves of that are expensive: the missed calls are lost revenue, and the answered ones burn selling time on people who were never going to transact.

The approach

Qualify on the call, not afterwards

The agent answers immediately and works through the things that actually determine whether a lead is worth an agent's afternoon: what they are looking for, which areas, what budget, what timeline, and whether financing is arranged. Conversationally, not as an interrogation — a caller who feels processed hangs up.

That information is what turns a name and a number into a lead someone can act on. It is also information human agents frequently do not capture on a first call, because they are trying to build rapport rather than fill in fields.

Retell for the conversation, ElevenLabs for the voice

Retell handles telephony, turn-taking, transcription and interruption handling. ElevenLabs supplies the voice, which on a property enquiry matters more than it sounds: this is often a caller's first contact with the brand, and a flat synthetic voice sets the tone for everything after it.

Interruption handling deserves specific attention here. Callers talk over the agent constantly — correcting a budget, adding a district, changing their mind mid-sentence. An agent that ploughs on through being interrupted reads as a robot within two turns.

GoHighLevel is the system of record, not a copy

Everything the agent learns is written into GoHighLevel as the call happens, not batched afterwards. The lead exists in the CRM with its qualification attached before the caller has hung up, which means follow-up automation, pipeline stages and agent assignment all fire immediately rather than the next morning.

Writing during the call rather than after it also means a dropped call still leaves a usable partial record. A caller who hangs up halfway through is still a lead with a phone number and a budget — losing that to an all-or-nothing write at the end would throw away exactly the leads worth chasing.

The agent is not there to replace the negotiation. It is there so that when an agent picks up, the person on the other end has already been qualified and is expecting the call.

Three exits, chosen deliberately

Every call ends in one of three places. A qualified, ready buyer gets a viewing booked. Anyone who asks for a person, or whose situation is complicated enough to need one, is routed to a live agent. Everyone else — the genuinely early, the just-looking — lands in a nurture sequence instead of being discarded.

That third exit is where most of the recovered value sits. Those callers were previously either unanswered or given two minutes and forgotten. Now they are in the CRM with enough context to be re-approached when their timeline arrives.

Where it landed

Inbound enquiries are answered immediately rather than going to voicemail or a competitor, and the manual call-handling load on agents dropped substantially — the qualifying conversation happens without them, and they spend their time on callers who have already cleared the bar.

  • Inbound calls answered on the first ring, including outside working hours
  • Callers qualified on budget, timeline, area and financing in conversation
  • Leads written into GoHighLevel live, so follow-up automation fires immediately
  • Ready buyers booked in; complex cases routed to a human; early leads nurtured
  • Manual call handling reduced, with agent time concentrated on qualified callers
